Project 5

B2B CRM Setup & Sales Follow-Up Workflow for a Tech Recruitment Agency

Industry: B2B (Recruitment / Talent Placement)
Tool: HubSpot CRM
Focus: Business Development & Sales Follow-up (Not Email Marketing)

Scenario:
You’re managing CRM for a Lagos-based tech recruitment agency that places developers, designers, and PMs into Nigerian startups and tech-enabled businesses. You’ve already connected with 10–15 decision-makers—mostly CTOs, founders, and Heads of People—and they’ve shown interest in your services. Now, your job is to track deals, follow up, and close.

Your Task

1. Create CRM Records in HubSpot

Simulate 10–15 qualified leads and set up their profiles with the following properties:

  • First Name / Last Name

  • Company Name

  • Email

  • Phone

  • Job Title (e.g. CTO, Head of People)

  • Lead Source: Referral, LinkedIn DM, Website Form

  • Hiring Urgency: Immediate, Within 30 Days, Long-term

  • Role Needed: Backend Developer, Product Designer, CTO, etc.

  • Company Size: 11–50, 51–200, 200+

  • Industry: Fintech, Healthtech, Logistics, etc.

  • Pipeline Stage: New Lead, Contacted, Follow-Up Scheduled, Proposal Sent, Negotiation, Closed-Won

  • Deal Amount: (based on placement fee) — e.g. ₦800,000 to ₦3,500,000

  • Last Contacted Date

2. Set Up a Follow-Up Task Workflow

Use HubSpot to create an automated follow-up system that ensures no lead falls through the cracks:

  • When a lead is moved to “Contacted”, auto-create a follow-up task for 2 days later

  • If proposal is sent and no reply in 3 days, create reminder to check in

  • When deal moves to “Negotiation”, set task to send contract draft in 2 days

No email automation is required—this is task-based CRM follow-up for sales performance.

3. Simulate Sales Conversations

  • Add notes under each contact about last conversation, hiring need, and what was promised

  • Log tasks completed and due dates

  • Update deal stage as you “progress” conversations

4. Final Output

All CRM data should simulate a real sales process. Export or screenshot the following:

  • Contact profile sample with full properties

  • Pipeline showing 5+ deals in different stages

  • Task view showing follow-ups due/completed

  • Deal amount summaries by stage (dashboard view)

All communication (for simulation) should be directed to:

hello@jamesogunjimi.com

Assignment 2

Assignment 2 – B2B Email Outreach for Vehicle Tracking Devices

Scenario:
You work for a company selling tracking devices specifically for large logistic vehicles (big trucks, trailers, tankers, etc.) in Nigeria. Your goal is to create an effective email outreach campaign to convince logistics companies to buy your tracking devices.

Your Task:

Identify Your Audience Clearly: Who exactly will you target within these logistics companies?

Understand Their Pain Points: List at least 3 key pain points these companies might have. Why would they want your tracking devices? How would your product solve their problems?

Explain Your Process: Detail how you’ll use Apollo to create your target list, including the specific criteria you’ll use (industry, job titles, company size, location, etc.).

Plan Your Email Sequence: Your sequence should last a maximum of 3 days. Decide clearly how many emails you’ll send, on which days (or hours) you’ll send them, and at what intervals.

Write Your Outreach Emails and Personalise: Ensure your emails include personalized touches like the recipient’s first name, company name, or specific details relevant to their business.

Setup and Submission: Set up your emails to go to this email address: sprintahq@gmail.com. I will receive each email from your sequence as though I’m the potential client.

Document your entire process (steps 1-7 above) clearly either:

As a Google Doc (attach the link to your submission)

Or type it directly into the assignment submission page on your student dashboard.

Remember:

No ChatGPT response. If you don’t get some parts right, we’ll review. Better that than to use ChatGPT and go from the class without a thorough understanding of the course.

Assignment 2

List 5 differences between an email marketing sequence and an email marketing workflow and give 3 examples of each.
